We collect information about shifts you book or post, timesheet submissions including hours worked, payment records, and location-specific credentialing information relevant to your assignments.

1.3 Communications Data

If you opt in to SMS notifications, we collect and store your mobile phone number for the purpose of delivering those messages. We record your consent to receive SMS communications and the date and time that consent was given.

1.4 Automatically Collected Data

We automatically collect certain technical information when you access our platform, including IP address, browser type and version, operating system, referring URLs, and pages visited. This data is used for security, analytics, and platform improvement.

2. How We Use Your Information

We use the information we collect to operate and improve the Staffanes platform, including to facilitate shift scheduling and contractor assignments, process payments and generate tax documents, send administrative and operational communications, deliver SMS and email notifications you have consented to receive, verify professional credentials and maintain compliance records, and respond to your inquiries and support requests.

We do not sell your personal information to third parties. We do not use your information for marketing purposes unrelated to the Staffanes platform.

3. SMS Communications

By providing your mobile phone number and enabling SMS notifications on the Staffanesplatform, you expressly consent to receive text messages from Staffanes regarding shift opportunities, shift reminders, scheduling updates, and timesheet notifications.

Message frequency varies based on your notification preferences and scheduling activity. Message and data rates may apply depending on your mobile carrier plan.

You may opt out of SMS communications at any time by replying STOP to any message you receive from us, or by disabling SMS notifications in your account settings. After opting out, you will receive a single confirmation message. For assistance, reply HELP or contact us at [email protected].

Our SMS messaging service is powered by Twilio. Your mobile number will be shared with Twilio solely for the purpose of delivering messages you have requested. Twilio's privacy practices are described at twilio.com/legal/privacy.

4. Sensitive Financial and Tax Information

EIN and SSN data you provide are encrypted at rest and in transit. Access to this information is strictly limited to authorized administrative personnel and is used solely for tax reporting and payment processing purposes. We display only the last four digits of your EIN or SSN in the user interface; full values are never shown in plain text except when explicitly revealed by an authorized administrator.

5. Document Storage

Documents you upload to the platform, including W-9 forms and credentialing documents, are stored securely using Amazon Web Services (AWS) S3 cloud storage. Documents are accessible only to authorized administrators and are not shared with third parties except as required by law.

6. Data Sharing and Disclosure

We may share your information with trusted service providers who assist us in operating the platform, including cloud hosting providers, payment processors (Stripe), SMS delivery services (Twilio), and email delivery services. These providers are contractually obligated to protect your information and may not use it for any purpose other than providing services to Staffanes.

We may also disclose your information when required by law, court order, or governmental authority, or when we believe disclosure is necessary to protect the rights, property, or safety of Staffanes, our users, or the public.

7. Data Retention

We retain your personal information for as long as your account is active or as needed to provide services. Tax-related documents and payment records are retained for a minimum of seven years in accordance with IRS requirements. You may request deletion of your account and associated data by contacting us at [email protected]; however, certain records may be retained as required by law.

8. Security

We implement industry-standard security measures to protect your personal information, including encryption of data in transit (TLS) and at rest, access controls and authentication requirements, and regular security reviews. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

Depending on your jurisdiction, you may have the right to access, correct, or delete your personal information; withdraw consent for SMS communications at any time; request a copy of the data we hold about you; and lodge a complaint with a data protection authority. The Staffanes platform is intended for use by licensed medical professionals and healthcare administrators. We do not knowingly collect personal information from individuals under the age of 18. If you believe we have inadvertently collected such information, please contact us immediately.
